Trip Costs

Costs for all trips include all accommodations during the listed itinerary, all specified meals, all guides and permits, all local transportation to and from projects, adventures and activities, all train and bus transfers necessary in detailed itineraries, all equipment and fees for any project and adventure activities and all project logistics and materials. A portion of the trip cost is also designated for funding the project.

Costs do not include international airfare, airport transportation, passport, visas, airport taxes, medical costs, costs of evacuation from remote areas, individual/optional trains, buses or excursions, alcoholic beverages, tips to guides/leaders, additional food or beverages, upgrades or extensions, personal items and services including laundry, insurance, etc. Accommodations are based on double occupancy where applicable. It may be possible to request single accommodations when available at additional cost.

Prices posted in itineraries are based on current exchange rates and tariffs. It is possible that due to fluctuations in currencies and costs of services, inside/out may be forced to make an upward adjustment of some costs without having advance knowledge. We do everything possible to avoid price increases, but in the event we do need to make an adjustment, we will advise you in advance of departure and request payment accordingly.

Reservations/Registration

Space is limited, so registrations are accepted on a first come first served basis. Your deposit will reserve a spot for you on the trip.All trips require a $500 deposit to register, payable by check or credit card. To pay by credit card, follow the link in the registration page and be sure to notate which trip you are registering for. We accept all major credit cards for deposits, with the balance in check or money order payment. Payment is due in full 60 days prior to trip departure. Registration less than 60 days prior to departure will require full payment at that time. Please make all monies payable in US funds. If payments are not received by the due date, we may cancel your reservation and your deposit will be forfeited. Reservations will be accepted 7 days prior to departure if space is available.

Once we receive your deposit, we will contact you with additional information including travel information, packing list, medical questionnaire and any other specific details. inside/out reserves the right to decline to accept any applicant.

Cancellations and Refunds

If you cancel your trip, you must notify us in writing or by fax. In the event it becomes necessary for you to cancel, a cancellation fee will apply based on the date we receive written notice. There is a non-refundable processing fee of $100 per person for cancellation.

Number of days prior to trip departure:
* 90 days or more: $100 processing fee only
* 89-60 days: Forfeiture of trip deposit
* 59-30 days: 75% of total price
* 29-0 days: 100% of total price (no refund)

Although the majority of those who cancel their reservations do so out of necessity, exceptions to this policy cannot be made for any reason,including weather or personal emergencies. There is no refund for leaving a trip early or arriving late. We are unable to provide refunds or credits for unused portions or uncompleted tours. We reserve the right to retain any participant at any time as a member on any trip. At the leader’s discretion, a member may be asked to leave the trip if the leader feels further participation may be detrimental to or compromise the safety of the individual or the well being and enjoyment of the group as a whole. We are not responsible for any additional expenses incurred by such participants.

The financial liability of inside/out shall be limited to the amount paid to inside/out for the land tour only and shall not be extended to cover any other associated travel costs incurred (i.e. nonrefundable air tickets, visa fees if applicable, clothing, equipment, miscellaneous transportation costs,medical expenses, travel insurance premiums, etc.).

While inside/out will make every attempt to operate a trip once confirmed, we do reserve the right to cancel a trip at any time for any reason whatsoever, including insufficient sign-up and/or reasons beyond our control that might create unsafe or undesirable travel conditions for the participants. In this case, all money will be refunded immediately. A trip cancelled due to insufficient sign-up normally occurs no less than one month prior to departure. However, inside/out is not responsible for other expenses incurred by the participant as a result of such cancellation, such as non-refundable airline tickets.

Trip Policies & Terms

We are committed to making sure things go smoothly and as planned on your trip, however, please be aware that travel can be inherently unpredictable. Part of the travel experience is meeting its challenges with flexibility and an open mind. Usually, this is where the most memorable moments are generated, in the times of the unexpected and unplanned.

It is possible that some things may change on a particular trip, either beforehand or during the course of the actual trip, due to the nature of our trips. We will do our best to keep you apprised of any changes as best we can and in a timely manner. Trip itineraries may be subject to change without notice due to changing project conditions, cultural unrest, road, weather and other conditions, or as deemed necessary for any other reason by inside/out.

Traveling as a group may also be a different experience for some. It will require all participants to be tolerant, understanding of and sensitive to others. Patience, a sense of humor and a flexible attitude will make the trip more enjoyable for everybody.

Projects and Adventures

Most of our projects and adventures are designed to be accessible for any moderately active person without any special required skills so that neither the project or adventure portion prevents anyone of reasonable health and fitness from participating in a trip that is meaningful to them. There may be some trips that require specific skills or fitness levels, but they will be noted accordingly. We define moderately active as the ability to hike an average of 4 to 6 hours on varied terrain with distances from 5 to 9 miles and elevation gains and losses from 1000′-2,500.’ If you have questions about your fitness level and the appropriateness of a trip, please contact us.

Trip Cancellation Insurance

We require you to buy travel insurance to protect yourself against losses caused by trip cancellation, loss or damage of baggage, non-refundable airfare or emergency medical expenses. In the event you find it necessary to cancel either prior or during a trip due to injury, personal or family illness or emergencies, trip cancellation insurance will reimburse non-refundable airfares and non-refundable land costs. It can also cover the costs of emergency evacuations from remote areas. It is possible to purchase travel/trip cancellation insurance policies through any insurance agency or travel agency, as well as through several resources online, such as www.squaremouth.com.

Medical and Health Insurance

Due to the physical nature of our programs, inside/out requires that you have medical and health insurance coverage while participating on our trips. Sometimes insurance policies you already have will cover you against accident/injury, and loss or damage to personal property while you are abroad, but you will need to check with the individual insurance provider. If not, it is possible to obtain a short-term travel insurance policy.

Our trips usually have some physical demands, and we can be sometimes be several hours or more away from medical facilities. It will be imperative that participants with medical concerns make them known to us well before the departure of the trip and that all participants complete a medical questionnaire. The trip leaders have the right to disqualify any member from the group whose physical condition is such that continued participation may jeopardize the individual or group.Refunds are not given under such circumstances.

Limitations and Liabilities

inside/out, it’s owners and guides give notice that they act only as agents for the owners, contractors, and suppliers, providing means of transportation and/or related services and shall not be liable for any delay, mishap, expense, inconvenience, irregularity, bodily injury or death to person or damage to property occasioned through the conduct or default of any company or individual engaged in providing these arranged services. Each of these passenger conveyance companies, tour companies, hotels, restaurants etc. is subject to the laws of the state or country where the service is provided.

inside/out shall not be liable directly or indirectly,for bodily injury or property damage for any reason whatsoever, including, but not limited to acts of God, weather, quarantines, civil disturbances,theft, default, detention, annoyance, changes in government regulations, terrorism, war, or failure of conveyance to arrive or depart as scheduled etc., over that which it has no control.
